Position Title: Main Building Receptionist

Department: Operations

Reports To: Operations Project Manager

Schedule of Duties:12-Month

Rate of Pay range: $26.44 - $31.73 per hour

Position Purpose: The receptionist works at the front desk of the Main Building (Portry) to greet and direct visitors and answer phones during normal business hours. Supports the functions of the school as directed.

Responsibilities

Specific Expectations for Operations Staff - In addition to duties and essential job functions listed in job descriptions, the following responsibilities are expected of all employees in the Operations department:

    • All staff are expected to maintain their school issued tools and equipment in good working order at all times
    • All staff are expected to wear the appropriate uniform during their working hours
    • All staff are expected to be available to work beyond the regular work schedule as directed and approved by their supervisor
    • All staff are required to wear personal protective equipment for jobs requiring a certain level of protection
    • All staff must complete training on all equipment used for their job function prior to using the equipment
    • All staff are required to submit time-off requests two weeks prior to date(s) requested. All requests will be considered on a case-by-case basis according to business need
    • All staff are required to coordinate job duty responsibilities with their manager prior to taking scheduled time off
    • All staff are responsible for policing their assigned areas for hazards, cleanliness and maintenance and addressing as necessary or escalating it to the appropriate resolution channel
    • All staff are required to notify their supervisor immediately if an unsafe condition is discovered or encountered
    • All staff are required to work safely and in accordance with local, state and federal laws, industry standards and School directed safe practices
All employees will be paid appropriately and according to current law. If staff are required to work outside of regular work schedule, permission to work outside of the regular work schedule is required; non-exempt employees will receive overtime pay, as eligible.

Essential Functions

  • Responsible for coverage of the main phone line, taking messages and/or effectively transferring calls
  • Responsible for greeting, registering visitors and directing all persons entering the Main Building
  • Prints and posts the daily calendar for first floor Main Building room usage
  • Serves as key operator for photocopier in MB portry
  • Responsible for maintaining the RSVP line noting messages and providing reports to appropriate party
  • Receives and distributes set up request forms
  • Responsible for training after hour staff for the portry area

Other Responsibilities

  • Assists with mailroom coverage/distribution as needed
  • Assists the Director of Schools and other MB departments as needed which may include photocopying, filing, compiling items and mailings
  • Serves as a backup in handling routine clerical work
  • Works on special projects assigned by manager
  • Other duties as assigned

Qualifications

  • High School diploma or GED and a minimum of two years of experience in a similar position
  • Ability to communicate effectively in English both verbal and written. Ability to communicate in Spanish preferred
  • Ability to apply common sense and understanding and to carry out instructions, furnished in written or oral form
  • Ability to ascertain which people may need immediate assistance and to act accordingly
  • Must demonstrate a calm demeanor and peaceful confidence under pressure and in high-stress situations
  • Ability to communicate effectively with all constituents in a school environment while exhibiting extreme diplomacy
  • A clear commitment to the mission of the school as articulated in the Goals and Criteria of Sacred Heart Schools and professional behavior based on it
  • Effectively uses all features of standard software (MS Word, Excel, Calendar Program and MS Outlook/GMail). Experience with BlackBaud strongly preferred
  • Ability to use basic office equipment, photocopier, computer, postage meter
  • Demonstrated excellent attendance and punctuality

Physical Requirements And Work Environment

  • Regularly sit, talk, hear and visually intercept visitors. Regularly uses close and distance vision
  • Ability to work in a highly stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts
  • Be able to lift up to 30 lbs.
  • Works at desk and computer screen for extended periods of time
  • Ability to turn, bend, reach
  • Ability to safely and comfortably travel across a 64 acre campus
  • Ability to work effectively in a high traffic lobby with wide level of activity fluctuation and interruptions
  • Works in a highly trafficked space that can be cold in the winter and hot in the summer
