Established business law and litigation firm based in Tampa dedicated to providing our clients with high-quality legal services. Our team of experienced attorneys is committed to delivering exceptional legal representation while fostering a collaborative and dynamic work environment. We are currently seeking a Law Firm Administrator to join our team. We are looking for an Administrator who, at the core, values innovation and an opportunity to contribute to the firm’s growth by building a team of dedicated and experienced professionals who value and promote a culture of engagement, collaboration, and teamwork.

Essential Functions and Responsibilities

  • Operational Management
  • Act as a liaison to the Office Managing Partners to oversee the firm's day-to-day operations.
  • Handle or oversee maintenance, repairs, and enhancements of general office and facilities.

Human Resources

  • Manages recruitment, hiring, and onboarding of new staff.
  • Handles employee relations, including performance evaluations, conflict resolution, and ensuring compliance with labor laws.
  • Organizes and oversees training programs for staff development.
  • Supervises workflow and performance of professional staff to ensure the delivery of timely, high-quality administrative services to the attorneys.
  • Provides ongoing performance feedback and manages the annual professional staff performance evaluation, compensation, and bonus process.

Process Management

  • Develops and implements efficient office procedures and communications to streamline processes and meet the firm's needs.
  • Monitors and enforces the firm's practices, policies, and procedures.
  • Policy Implementation: Develops and implements office policies and procedures to improve efficiency and productivity.

Vendor Relationship Management

  • Identify opportunities to reduce costs, improve operational efficiencies, and propose management solutions.
  • Ensure legal compliance with federal, state, and local employment laws and reporting regulations affecting human resources functions.

Financial Management Coverage

  • Provides additional coverage or assistance with the client billing processes, ensuring accuracy and timeliness.
  • Helps manage payroll processes, including employee compensation and benefits administration.
  • Manages time and attendance for professional staff, including PTO, leaves of absence, and employee coverage.

Qualifications

  • A Bachelor's degree and a minimum of seven (7) years of experience in an office manager/legal administrator position, preferably with a law firm of similar size and responsibilities.
  • Proven leadership and management skills and a demonstrated ability to successfully implement ideas and positively impact change.
  • Experience with facilities management, including collaboration on space planning for office buildouts, layout, plan review, and construction management.
  • Strong communication (written and verbal), problem-solving, leadership, and diplomacy skills that allow for successful regular interactions with attorneys, professional staff, and vendors.
  • Excellent organizational and project management skills.
