Dear EGEAn, For the Board this year has been a truly unforgettable experience
but it certainly wouldn’t have been that without all the amazing

Your Board 2016/2017,
Besides the people, EGEA would be nothing without all the amazing Simon, Ines, Vilna,
events. This year we decided to support the organising of Newbie Joonas and Marek
Weekends which resulted in three great events last autumn. There
were also the traditional 4 Regional Congresses and an Annual
Congress, as well as numerous other events. You can read all about
them in chapter 2.
You can also read about how our media strategies have developed
over the year and what we have done to make EGEA more visible in
chapter 3. Chapter 4 gives an overview about the nancial situation
of EGEA. Chapter 5 on the other hand introduces the scienti c
activities in EGEA and how we encourage them. In chapter 6 you get
to take a look at our partners and other external cooperations we’ve
had this year. And nally in chapter 8 you can check out what the
future has in mind for EGEA.

Member entities of EGEA


Local level - entities

Local level of EGEA is what EGEA is really all about: exchanges,
traveling, new cultures, new experiences and most importantly -
new friends. It’s really the core reason why EGEA exists. This level is
the foundation of EGEA and all the other levels are based on it and
can’t really function without it.
The local level consists of all of us, the EGEAns. It is formed in the
shape of entities that are run by Contact Persons (and in some
entities also other members of the entity’s board). Entities take care
of organising a variety of events and other get-togethers like
exchanges, parties, hang-out evenings, hikes, seminars, mapathons
and whatever they can come up with!
Regional Teams are there to support entities and help them in their

duties, but in the end, it is the responsibility of the entities EGEA Oulu and EGEA Brno having an exchange
themselves to take care of the everyday tasks. Entities need to

attract newbies and pass on the knowledge to future EGEAns so that
EGEA will be as wonderful and unique place to all the European Region Member Candidating

Regional level
On the individual level, the four Regional Teams work di erently and
in their own way – with their own challenges and highlights.
However, there are many things that connect the regions and also
the Regional Teams. Through cooperation with each other, we were
able to coordinate our work, help each other out, share ideas and
work on projects together.
Our team of four RCPs was coordinated by our Secretary Vilna, who

was our link to the BoE and gave us tasks, reminded us of upcoming
deadlines and informed us about the BoE work. Next to the
e-meetings and the constant chat online, we were able to meet live
twice. First, the four RCPs met in November at the Newbie Weekend
in Ljubljana, Slovenia. The second time, also the Regional Assistants
were invited to the meeting and so 7 of us met in Aachen, Germany The Live Meeting participants in Aachen found an Elephant!
in July. Both of those meetings were not only great fun but also very

productive. The results were for example the “Master Folder“ - a
folder on Google Drive that contains the most important EGEA
documents and makes them easily accessible for entities. Another
project we worked on together was the Support Fund, which
resulted in the proposal for the GA 2017 and the organisation of the
Support Fund Auction.
Working together with the RCPs was always a lot of fun and we will
all keep this year and our teams in great memories. Thank you

everyone who made this year as awesome as it was!

downs in terms of workload, in terms of motivation and in terms of
emotions. So for us too, there were stressful and relaxed moments,
moments full of energy and ready for action as well as moments of
annoyance or boredom. We had moments of heated discussions
and moments of uni ed agreement. But I think I speak for all of us if
I say that in the end, it will be moments like the ones mentioned
above that will be remembered.
The Board is a team made up of individuals with di erent
characters, di erent priorities as well as di erent nationalities and
languages. Bringing these individuals together as a team is not
always easy, but always interesting and enriching. Over the course
of the year we met on countless occasions, be it at one of the 6 live
meetings, on other events and congresses or even just personal
visits. And through slack and the regular e-meetings we were in
touch almost daily.

Supporting Roles
Secretariat Team
During the year the Secretariat Team maintained the o ce and
ful lled the administrative duties which the Secretariat is
responsible for. We processed refund claims ad EU documents,
helped to update the Statutory Base, and successfully sent entity
packages around Europe to all entities. Rick de Graaf, the
Secretariat Coordinator, has been the main responsible person for
the tasks of the Secretariat. Rick helped the Board with the
transition to a new bank, he is the contact with our sponsors, the
Utrecht University and Esri, and is organising the moving of the
Secretariat o ce to a new building within the Utrecht University.

During December Nicole Hulsebos was supervising the Secretariat.
She also attended the Winter OSM in Vilnius as the Secretariat
representative and she had rst contact with Carla Kist, one of the
founders of EGEA from Utrecht. During spring the entity packages
and promotional material for congresses were sent around Europe
with the help of Sander van der Klei and Floris Wolters. During the
Summer OSM in Vienna, Austria Rick was present as the
representative. During August, the preparations for the rst live
meeting of the next year’s Board of EGEA will start as well. As a
summary, it can be said that the Secretariat is running as intended

Website Administrators
The WebAdmin Team recently migrated the website to a new server
and did some other major improvements such as faster loading,
encryption, new and updated content. Read more on page 56.
Our current and upcoming projects next to our daily tasks are:

Who are we? The Website Administrator Team consists of engaged
and IT-interested EGEAns who take care of the website and mailing
system. We accept your event submissions, do CP changes, create
new entity pages, manage all email addresses and help if there are
any website-related problems. We have di erent levels of
experience and di erent skills that contribute to a diverse team of
eight people.

Following the tradition of having the Organisation and Strategy
Meeting twice a year, we organised the Winter OSM 2016 hosted
by EGEA Vilnius in December and the Summer OSM 2017 hosted by
EGEA Vienna in July. Due to the fact that both events were really big,

we managed to have all of EGEA o cial bodies represented at both
Winter OSM in snowy Vilnius
OSMs! It’s worth to mention that for the rst time ever, the OSM was
organised in the North & Baltic Region. It’s special for one more
reason: right before it, the rst ever Meeting of Committees was
held, so the Committees could improve their work and cooperation

events and therefore, they were organised on a really high level.
Besides functional sessions, the main topics of both OSMs were the
new Strategic Plan (EGEA 2020), EGEA Day, AC fee, Impact of EGEA,

The Communication and Media Committee (CMC) is a project-based During this year we have designed promotional materials for the

Role and aim

The European Geographer (EG) is the semi-scienti c journal of EGEA.
It gives EGEAns the opportunity to publish their scienti c work in an
o cial journal and to read about the interesting scienti c work of
their fellow EGEAns. Articles are carefully checked and corrected by
the EG’s editing-team and put into a professional design by the
layout team. This means that committee members as well as
authors learn a lot about the important things in life: referencing,
grammar, layout, and scienti c writing in general.

During the last EGEA year, the Editorial Board managed to nish two

important projects: the development of a new layout and the
publishing of issue 14. We were very happy to present you another
issue full of geographical knowledge in a professional look, designed
by our amazing layout-team.

Role and aim

The purpose of the Fundraising Committee is to attract sponsors
and partners who can benefit EGEA, and work towards improving
and diversifying EGEA’s nancial situation and the external visibility
of our Association. Furthermore, the committee´s task is to spread
knowledge about fundraising to EGEAns. The committee also
organises fundraising trainings and e-trainings, o ers advice and
help to event organisers during their fundraising campaigns and
make the aims and possibilities of the Support Fund known to every
EGEAn.

Year 2016/2017 for FundComm

Since the start of the new EGEA year 2016/17, the Fundraising
Committee organised two online fundraising trainings in November
and June. The committee updated the Annual Brochure for potential
sponsors, the Fundraising Manual and the Cooperation Letter –
useful tools for event organisers in their fundraising campaigns.
Now the committee is in progress of updating the Sponsor Database

Role and aim

Regional Support Committee (RSC) works closely with the Regional

Teams and provides entities and EGEAns with quality materials for
entity management. We keep track of the development and are
constantly updating materials for entities and collecting information.
Most importantly we provide support in the form of friendly faces,
as we understand our role as helping hand.

Year 2016/2017 for RSC

In the year 2016/17 we were responsible for seven projects – the
Entity Survey, Entity Manuals, Newbie Area, EGEA Day, Newbie
dictionary, Travel book and list of universities. Some of these
projects are our “traditional” projects, like the Newbie Area and
Entity Survey, but most of them change every year. We realise that
project quality is very important, so this year we cooperated with
other committees. For example, CMC helped us with the visual
designs of our projects. A great example of good cooperation is also
the Entity Survey where we worked closely with the BoE and
Regional Teams, who later used the results in the Regional Reports.

This year we had two live meetings, one in February in Tübingen and
Newbie Area at the EMRC 2017
the second during the ERC in Czech Republic. For us this type of
work is important because the members can get to know each other
and we become a team of geographers and friends, not just a group
of strangers who need to work together.

family of geographers celebrates its 30th anniversary! Therefore, it
was also a great year to celebrate the rst ever EGEA Day, which will
hopefully establish itself as a tradition in the years to come. EGEA
Day was o cially celebrated on the 15th of April by a great number
of entities. We saw greetings, pictures and ‘happy birthday’ videos
from all around Europe. This remarkable day portrays the
uni cation of geographers across borders, which we can solely

As we wanted to make our workshop interactive, we managed to

A year in the Board of EGEA is full of high moments - though of
course there were some low moments as well.
After the Annual Congress 2016 we had a transition meeting with
the previous Board in Mainz, Germany, after which we proceeded to
Utrecht to our rst live meeting. I remember when we took a train
from Mainz, and suddenly it was only us, the newly elected Board
onboard. It was a confusing moment as I realised that now it’s the

Working in a Regional Team all year was very pleasant, especially
when you have such awesome people in the team as we had this
year. As the Regional Team we communicated with all eastern
entities, other regions and the BoE, basically it was mostly online
work, which actually has a real impact – which we could see on our
own eyes. I think that one of the most exciting moments was for
sure the preparation and realisation of the CP Training and Regional
Meeting at the ERC 2017. This year we were happy to see so many
new faces as Eastern CPs, which made next year even more
promising! We went through our most common issues, spent nally
time really together, at one place and saw real faces behind Skype
nicknames, which we were seeing before during e-meetings. EGEA
year 2016/2017 and Eastern Region will always stay in special place

Meeting and working with cool people, joining awesome events and
everything else made this year an awesome experience that I will
never forget.
Lidija: One of the best moments with my Regional Team was the
EMRC in Tolmin where we discussed about each of the entity’s
problems, helped each other with ideas and heard constructive
opinions also from other regions. It was a fun year cooperating with
Lena and Iris in the team, though my time-availability was somehow
limited in the second half, so thank you for your patience!
Iris: I am always excited when I check the Euromed e-mail and there
is a new mail from an entity seeking to become a part of EGEA. I am
happy that we had an opportunity to communicate with prospective
entities in Greece, Slovenia, Montenegro, Serbia, Bosnia and

For the North & Baltic Regional Team there have been multiple
memorable moments during our year, but if we must name three,
they would be in no particular order:
● CP Training in Copenhagen where we had a small, but really
cosy weekend with the Copenhagen girls. Between the
meetings we explored the city, enjoyed homemade food and
the sun was shining throughout our visit there – what else
you could ask for?
● Trip to Umeå was unforgettable since we rstly, drove there
by car through Lapland and were greeted by excited Swedes
and secondly, took another (big) step on the way of getting
Sweden back to EGEA.
● NBRC 17 in Kuusamo was a unique experience and it was
really wonderful to see how everyone enjoyed the North &
Baltic atmosphere and surrounding nature. We also had a
very successful Regional Live Meeting, which was the icing
on the cake in this unforgettable experience.

This year’s Team West, consisting of Lorina, Dymphie and Daniel,
had a lot of fun and motivation, and was lucky to have great team
spirit and amazing, super active entities to work with. The top
highlight was the CP Training and the Western Regional Congress in
Kiel, where we got to meet so many of the enthusiastic CPs and have
a lot of fun together. Other highlights were all those times where all
three of us were in one place like the live meetings in Tübingen and
Zürich or the OSM in Vienna as well as the e-meetings with the
entities. These meetings were always a good mix of fun, productivity,
deep talks, laughter and work. We would like to thank the Western
Region for their motivation and activity and for making our year so

So, what is it like to be a Committee representative? First of all: Yes,
leading a committee requires time, commitment, and of course a lot
of work. While some “administrative tasks” are rather less exciting,
other tasks are challenging and/or fun. I mainly applied as
Committee representative because I wanted to be maximally
involved in the EG and bring projects forward I got to know as a
committee member. However, being a representative does not only
give you the chance to shape your committee. You will be involved
into issues concerning EGEA generally by closely working together
with the Board and other committees. You are, e. g., part of the
Organisation and Strategy Meetings (OSM) that take place twice a
year to discuss current and future matters of EGEA.

Life of a congress organiser

Not a lot of people know, that when we started to plan EMRC 2017, I

was actually the day program coordinator. Things changed and our
Coordinator at that time had to step down and I was suddenly put in
a new role. For me the new role was de nitely a challenge because it
was something completely new. I’ve done group projects before but
the fact is that none of those projects were as big as the congress.
For the EMRC 2017 our organising team consisted of 20 people and
for me the biggest challenge was to balance everyone’s wishes,
characters and to stay impartial when arguments started. With a
project so big and with that many di erent people I believe
disagreements are something completely normal and here is when For me one of the most stressful moments was having a speech during

Before their approval at the General Assembly 2016, the Board members, Secretariat Coordinator and the Regional Contact Persons together
